Overview

Most small businesses run on five or six disconnected tools — a CRM, a spreadsheet for finance, a separate tool for ops, another for support — each with its own version of the truth. This system sits underneath all of them as an automation layer that moves data between tools, applies business logic, and surfaces decisions instead of raw data.

The problem

When tools don’t talk to each other, someone becomes the integration layer — copying numbers between systems, manually triggering the next step, reconciling mismatches at month-end. That person’s time is the most expensive API call in the business, and it doesn’t scale.

What it does

• Syncs records across CRM, invoicing, and ops tools so an update in one place propagates everywhere it needs to, without manual re-entry
• Runs scheduled business logic (e.g. flag accounts past due, surface deals stalled in a stage too long, recompute a health score) and pushes the output where the team already works — Slack, email, CRM fields
• Exposes a small set of API endpoints so any tool in the stack can trigger a workflow instead of waiting on a person
• Runs as a set of containerized services so it can be deployed per-client without a shared dependency mess

Stack

n8n is the orchestration layer connecting the various SaaS tools via API and webhook. Python services handle anything that’s real computation — scoring, aggregation, anomaly detection — that n8n’s native nodes aren’t built for. Everything runs in Docker so the whole system can be stood up on a client’s own infrastructure or a small VPS in under an hour.

Why it matters

This is the difference between “we have a lot of software” and “our software runs the business.” The goal is a stack where the systems do the coordination work, and people only get involved for judgment calls.
