Lead Follow-Up Automation

An n8n workflow that responds to inbound leads within minutes, qualifies them, and routes them to the right rep — so no lead sits untouched waiting on a human.

How it works
The moment a lead comes in, n8n enriches and scores it in Python, routes it to the right rep, and fires an instant Slack alert plus a first-touch reply.

Overview

Response time is one of the strongest predictors of whether an inbound lead converts, and it’s also one of the easiest things to fix with automation. This workflow catches a lead the moment it comes in, qualifies it against basic firmographic and intent signals, and gets it in front of the right rep or onto a nurture sequence — before the lead has moved on to a competitor’s form.

The problem

Inbound leads usually wait on a human to notice the form submission, check who’s free, and follow up — often hours later, sometimes the next business day. Every hour of delay measurably drops the odds of a response, let alone a conversion.

What it does

  • Triggers the moment a lead fills a form, books a call, or replies to an email
  • Enriches the lead with firmographic data and scores it against a qualification model
  • Routes qualified leads to the right rep based on territory/round-robin logic and fires an instant notification
  • Sends an immediate, personalized first-touch message so the lead hears back in minutes, not hours
  • Drops unqualified leads into a nurture sequence instead of a rep’s queue

Stack

n8n handles the trigger, enrichment API calls, scoring logic, and routing — it’s the natural fit since this is mostly orchestration across a CRM, an enrichment API, and a messaging tool. Where the qualification scoring needs more nuance than a simple rule set, a small Python function handles the model.

Why it matters

This isn’t about replacing reps — it’s about making sure no lead’s first experience with the business is silence. The system handles the first five minutes; the rep handles the conversation.
